Preparing For TeleRoute

Description

TeleRoute is a mobile app that uses tablets or cell phones to replace paper route sheets and work orders. This describes the initial setup that must first be completed in Trash Flow for the app to work.

Before You Begin

You must have a Trash Flow license incorporating our Address Verification Service (AVS) and at least one TeleRoute truck. You can contact Trash Flow’s sales department at 800-852-5199 for further information and pricing.

Context

TeleRoute does not take long to set up, but it does need to be done before the mobile app will work. One of our trainers can walk you through these steps; you can call 800-708-8642 to set up an appointment if you do not have one already. If you wish you may also choose to do this alone once we have entered your license for AVS and TeleRoute.

Steps to follow: Add to lists

Please note that if you have already been using the Routing or Container Tracking modules of Trash Flow the first two entries below may have been done already.

  1. Set up your drivers.
  2. Set up your trucks.
  3. Click System > Setup > Lists > Fuel Stations. Type in a place the drivers stop for fuel and press ENTER, then click Yes. Repeat as needed.
  4. Click System > Setup > Lists > Route Extras. Type in something the drivers might pick up along the route for which you need to charge the customer and press ENTER, then click Yes. Repeat as needed.
  5. Click System > Setup > Lists > Work Order Extras. Type in something the drivers might note when doing container work for which you need to charge the customer. Press ENTER, then click Yes. Repeat as needed.
  6. Click System > Setup > Lists > Site Locations.Backspace over the words NEW SITE and type in the name and address of your business. Change the dropdown menu from Landfill to Main Office. Next click Edit Address and fill in the information. (If you have more than one address then enter where the trucks leave from in the morning.) Click Save & Exit to save the address, then Save and Close to close the Site Locations window.
  7. Click System > Setup > Lists > Site Locations. Click Add Site, backspace over the words NEW SITE, and type in the name and address of a landfill, transfer station, etc. where the driver might dispose of trash. Set the dropdown menu to say Landfill, click Edit Address , and fill in the information. Click Save & Exit to save the address. Repeat as needed. Click Save and Close to close the Site Locations window.
  8. This step is necessary only if you store containers in different yards and need to track which box is where. Click System > Setup > Lists > Site Locations. Click Add Site, backspace over the words NEW SITE, and type in the name and address of a yard, garage, etc. where you store containers. Set the dropdown menu to say Yard and click Save and Close. Repeat as needed.
Steps to follow: Route and TeleRoute settings
  1. Open a route. Right-click, point at Route and click Route Information. TeleRoute Route should already be selected, but check the box if it’s not. Repeat this for any routes for which you want drivers to use the tablets.
  2. Click TeleRoute > Settings > Change Driver Password. Create a password that the drivers can use in the TeleRoute app; the only requirement here is that the password be at least five characters. Please note that this password will be the same for all your drivers.
  3. Click TeleRoute > Settings > Autodelete location data, if desired. You can use this to set how many months of detailed location info you want to retain from the trucks. That information can start to slow your database down over time.
  4. Click TeleRoute > Settings > Prompt for picture, if desired. Checking this option will ask the driver if they want to take a picture every time they tap Trash Not Out or Bin Blocked in TeleRoute.
  5. Click TeleRoute > Settings > Qualifying Exceptions. Select the items desired and click OK. Remember that anything the drivers record on the tablet will automatically be saved to the customer account regardless of which options are selected here. The items you check will show up as alerts in Trash Flow throughout the day for the people in the office.
  6. Click TeleRoute > Settings > Show All Route Notes, if desired. Checking this option will make any notes on the container placement show up for the driver running a route in TeleRoute.
  7. Click TeleRoute > Settings > Disable Move Stop Acts, if desired. This disables the driver ability to flag a stop along the route to be moved.
  8. Click TeleRoute > Settings > Auto Logout After Cmplet, if desired. This will automatically log the driver out of the app once they indicate that the route is finished.
Steps to follow: Uploading routes
  1. Note down your hauler ID. This is a five-digit number assigned by Trash Flow; it appears in parentheses at the top left of the Trash Flow tilebar next to your business name. If you are not sure of your hauler ID then contact Trash Flow Tech Support at the number below.
  2. Click TeleRoute > Upload Routes. Choose the date (usually tomorrow), select all items you want the drivers to see in the app, and click OK.

When you're done

Once all the above steps are completed drivers will be able to log in to the app and work in TeleRoute.
