Bill Formats: Postcards

Many haulers send out postcards for residential trash bills. Postage is cheaper than first-class mail, and can be cheaper yet if you take advantage of CASS. The sample postcard below shows the business name and return address, the bill date and the customer’s account number, details of the service(s) the customer is being charged for, the customer’s webID number to pay online, the terms and balance due, and of course the customer’s name and address.

Here's some useful information to know when sending postcard bills.

  • Your ability to add an extra message to print on bills is limited. Postcards don't have much real estate available, but when you go through the bill printing process there are fields titled Message Line 1 and Message Line 2. Each of these is limited to 30 characters and will print under the bill date.
  • By default the space for a postcard stamp at top right is left blank. However, if you have a Entering Postal Permits you can have that information print instead.
  • If you choose you can have RETURN SERVICE REQUESTED printed on the cards. This instructs the post office to return the postcard to you if they can't deliver it to the listed address.
  • When printing any bill you have a field called Detail Charges From (Last Billing Date). The postcard will list all charges made after (not on) this date. If the customer had a balance on that date another line will print: "Balance as of [date]."
  • If a customer has more transactions since that last billing date than can fit on the bill those charges and payments will be totaled up and shown as one line labeled "Additional Charges."
  • There are two ways in Trash Flow to tell customers when to pay their bill: Enter Your Payment Terms and Setting Due Dates for Plain Paper Bills. Either will work, but it's best to choose one and stick with it.
