Finding a Customer Account
This topic describes how to look up an existing customer account in Trash Flow.
Context
Trash Flow users sometimes work with many accounts at once: doing billing, uploading routes, running an autopay batch, reviewing the days' work orders in the Dispatch window. However, there are always times you will need to investigate an individual customer account.
Procedure
On the Trash Flow toolbar, click , then click one of the orange buttons on the right depending on how you want to search for the customer. Trash Flow lets you search in a variety of ways that are listed below. Please note that some of the options below may not appear in your Trash Flow database; the choices available depend on which Trash Flow modules you have purchased.
- Name: Type the customer's name in the box that appears. When you see the full name appear in the box below, select your choice to open the customer account. Note that residential accounts are often entered last name first.
- Account Number: Type the customer's entire account number (or web acct. number) in the box that appears and click .
- Address: Type the street name a customer lives on (not the street number). Trash Flow will display a list of all customers who live on that street with the street number listed to the right and the customer name listed below. Select your choice to open the customer account.
- Phone Number: Type the customer's phone number in the box that appears and click . Note that you must type the phone number exactly as entered, including any punctuation and spaces.
- New Customer: This is a special option that lets you type in a new customer's name and press ENTER even if the new customer has the exact same name as an existing one.
- Invoice #: Type the invoice number you're loooking for in the box that appears and click . Trash Flow will open the account of whichever customer has that invoice.
- Work Order #: Type the work order number you're loooking for in the box that appears and click . Trash Flow will open the account of whichever customer was given that work order.
- Charge Ticket #: Type a transfer station/landfill ticket number entered when completing a container charge or work order. Trash Flow will open the account of the customer the work was for.
- TipTicket #: Type the scale ticket number created by TipTicket; Trash Flow will pull up the customer to whose account the ticket was saved.
- Search Payments: Type the check number entered when recording a payment. The program will pull up a list of all full and partial matches for that check number. Double-click an account to open it.
- Container Placement Addresses: Type the name of the street where a container is placed (not the street number) to see all container placements on that street. This function lets you search for the address of a container placement even if you don't know the name, account number, or billing address of the customer responsible for the container at that address. Once you have the container placement information, you can easily get to the customer's account.
- Customer Notes: Type in a word or phrase that you know was included when entering notes on an account. Trash Flow will list all customers with a note that matches what you typed, allowing you to double-click and open the desired account.
- Other: Type in a text string to search for and click . Trash Flow will search customer names, addresses, contact names, and some other text fields for any close matches of what you have typed. You can then double-click the desired entry in the list displayed.
- (You can access the options listed below by clicking )
- Dumpster/Miscellaneous: Type the number in the box that appears and click . This function looks for entries saved in the Dumpster/Misc. field on the Misc. tab of customer accounts. Note that this field is case-sensitive: Cart A-688 is different from cart a-688.
- Customer Import: This is not a button to look up a customer account; rather, it opens the program's import function so you can import a CSV file of new customers.
