Setting Up TipTicket

Creating a Scalehouse

The first time TipTicket opens you will be prompted to create a scalehouse.

Entering Materials

This topic is covered in a separate entry here. Briefly, you will set up a list of materials you need to track, then map different bill codes to those materials.

Bill Codes and TipTicket

It’s a good idea to enter all the bill codes you think you’ll need for TipTicket; to add new bill codes, see the instructions at this link. Most bill codes in TipTicket will be variable rate—so many dollars per ton, per pound, per item, per cubic yard, etc. You can learn about setting up minimum bill codes and/or a default bill code at these links.

Cash Customer

TipTicket requires a default “Cash Customer” account in Trash Flow. This is an account for TipTicket to use on dumps where you don’t need to bill anyone—the person is going to get rid of some trash, pay you, and leave. Create a new customer account with a name like Cash Customer and on the Rates tab check the box that says COD. Then navigate to the Misc. tab on the account and check the box for A Default Cash Customer. Whenever you do a ticket for the cash customer the program will require you to record a payment.

Origins and Destinations

For many states each landfill ticket will need an Origin (for incoming waste) or a Destination (for outgoing waste). Click System > Setup > Tip Ticket > Origin / Destination. Enter a county, town, or other region from which you receive waste. Press Enter, then click Yes to add the description. Type the next location in the box, repeating the process until origins and destinations are entered. Click OK when done.

Business Information

Click Tip Ticket on the Trash Flow toolbar to open TipTicket. (You may also need to select the scalehouse; if you’re not sure what to choose, enter 1 and click OK.) Press F7 on the keyboard. Enter your business name, address, and phone number as you want it to appear on the tickets. You can also type a Message that will automatically print on all tickets. Choose the Copies (how many tickets do you want to print) and Forms per Sheet. If you need to set up TipTicket to access a remote scalehouse or work with more than one scalehouse, a Trash Flow technician will assist you over the phone. Click OK to save the settings.

Other TipTicket Settings

TipTicket contains further settings that can be used to customize the way you run your landfill business. The most important of these are listed below. Please note that for some of these the default options you choose below can be overriden under Current Truck on an individual ticket.

  • Truck Types: Every vehicle that comes through the yard can be assigned a truck type. In TipTicket, press F6 to add a new truck type. Common truck types include auto, pickup truck, front-loader, van, SUV, dump truck, front-loader, flatbed, and rear-loader. You can also use truck types to flag problem customers, creating types such as “bad check” and “no admittance.”
  • Calculate Weight in Tons: Scales usually transmit their weight in pounds, but if you need to you can change this setting to make TipTicket interpret the incoming weight as tons.
  • Dollar Amounts on Tickets: If you want the amount a customer is charged to appear on the landfill ticket, select Edit > Program Settings > Print dollar amount on tickets. Some operators prefer to leave this unchecked because they do not want drivers seeing the rates that different customers are paying.
  • Single-Pass vs. Weigh In Weigh Out: By default Tip Ticket assumes that you will be weighing each vehicle twice—once when it arrives and again when it leaves. Checking this option lets the program use any previously saved tare weight so you can simply weigh the vehicle when it comes in and immediately print a ticket.
  • Multi Pass: Enable this option if you typically deal with trucks coming in carrying multiple materials; this lets you send the vehicle to the yard and bring it back several times, weighing it at each step. TipTicket will remember the net weight each time and let you use succeeding lines in the Charges section to assign different bill codes to each weight.
  • Process Work Orders: If you use Trash Flow to create work orders for your drivers, you can complete work orders from within TipTicket. If you select Edit > Program Settings > Process Work Orders, a work order completion screen will open every time you complete a ticket.
  • Display Cash Customer Warning: Because many landfill customers will not be regularly billed, TipTicket requires you to create a Cash Customer before TipTicket is first run. If you want TipTicket to remind scale operators when they are dealing with a cash customer, select Edit > Program Settings > Display Cash Customer Warning.
  • Edit Tax Amount Description: This option lets you set how you want the tax line to read on the printed ticket.
  • Display Cash Tendered & Change Due: If you want TipTicket to request an amount of cash tendered and display the change due on cash transactions, click Edit > Program Settings > Display Cash Tendered & Change Due. Note that the program needs
  • REPRINT on Reprinted Tickets: As the option says, if this is checked then any reprinted tickets will have the word REPRINT included at the top.
  • Set Business Date: Lets you change the date in TipTicket; any tickets you print will be considered as being entered on that date throughout Trash Flow.
  • Set Round Off Bill Code: Rarely used, this option lets you choose a bill code that will round off dollars transactions. (A bill code with a rate of 25 cents will round off all charges to the nearest quarter; a rate of $1.00 rounds charges off to the closest dollar, etc.)
  • Multi-Pass Weight In Up: This setting only shows up under Current Truck. If selected it will apply the net weight to the bottom line containing a bill code. (The default behavior is to take that weight and enter the Qty. on the first bill code line with no Qty. entered yet.)
