Returning or Applying a Customer Deposit

Description

This describes how to return a customer's deposit to them and/or convert some or all of that deposit into a payment.

Before You Begin

These functions will not be available unless you have already Taking a Customer Deposit in Trash Flow.

Context

If a customer gives you money as a deposit then at some point you will presumably want to do something with that deposit. You might return the money when they cancel service, or refund part of it because the charges on a roll-off container were less than the deposit. Alternatively you may keep the money if your container gets damaged, or they move out without paying their last bill, In this case you may choose to convert the entire deposit—or just a portion—into a payment.

Steps to follow: Returning a deposit

  1. Open the customer account to the Charge tab.
  2. Change the Type dropdown from Code to Deposit Returned.
  3. By default Trash Flow will select the entire deposit amount to return; change this if necessary.
  4. Fill in the Check Number field if necessary; this would be the payment method you are using to return the customer's money.
  5. Click Save.

Steps to follow: Applying a deposit

  1. This can be done either from the Charge tab or the History tab.
  2. On the Charge tab, change the Type dropdown from Code to Deposit Applied. (If using the History tab then click the original deposit, right-click your mouse, and click Apply Deposit.)
  3. In either case choose the amount to apply toward the customer balance and change the date if necessary.
  4. Fill in the Check Number field if necessary; this would be the payment method you are using to return the customer's money.
  5. Click Save or OK.

When you're done

The customer's deposit amount will be reduced (to zero, if the entire deposit was used). If you charge taxes then when you apply a deposit Trash Flow will calculate how much to withhold for tax.
