This explains how to delete a customer so they no longer appear in Trash Flow.
Caution
What happens after an account is deleted?
1. The information is not gone forever—the account is marked as deleted but can be recovered through the menu. The customer, along with any of their charges and work orders are no longer included in reports.
2. If the customer logs in at TrashBilling.com they can still log in, but will not be able to make any payments to their account. They'll be directed to a generic login screen where they can make a payment to your business, but the payment won't be recorded on any customer accounts. If this happens you will see this message after picking up web payments: "X number of invalid accounts exist."
3. If the customer's trash pickup was recorded on TeleRoute it will no longer appear when viewing route history.
Before You Begin
Several conditions must be met in order to delete a customer.
- The customer cannot have an outstanding balance. You must enter a payment or a write-off to zero out any outstanding balance.
- The customer cannot have any containers assigned to them on the Boxes tab.
- The customer cannot be on any routes. You must delete their stop from any route(s) they were placed on.
Context
We generally advise against deleting customer accounts, unless it's a new account that was created accidentally. Entering an End Date on their accounts is usually the better way to end a customer's service. Deleted accounts can be recovered by clicking but it adds extra time and effort. See the sidebar to learn what happens once an account is deleted.
Delete the Customer
- Open the customer account you wish to delete
- Make sure there is no outstanding balance, the customer is not routed, and there are no containers on the Boxes tab..
