Sorting CASS Mail

Description

This explains how to print bills with CASS sorting.

Before You Begin

You will need a Mailer ID and Customer Registration ID from the USPS website along with a bulk mailing permit from your local post office. (Contact Trash Flow Tech Support if you have further questions about this.) You will also need to Certifying Addresses and Preparing for CASS your billing addresses. Finally, you will need mail trays from your post office.

Context

The post office gives an additional discount on bulk mail postage if a company checks their billing addresses for accuracy and sorts the outgoing mail into separate trays for the drivers. By doing some of the post office's work for them ahead of time you can get significant savings over time when sending out large amounts of bills.

Steps to follow

  1. Click Billing > Bill and Print > Print/Email Bills/Cards.
  2. In the dropdown menu for Sort Bill By choose CASS. Choose your desired bill format and click OK.
  3. Choose the desired options in the next screen. Be sure that Print Bar Codes is checked before clicking OK.
  4. The next screen may already be partially completed. All fields must have valid entries in order for CASS billing to work. You need the PS Permit # from your local post office; the Mailer ID# from usps.com; and the CRID#, also from usps.com.
  5. Fill out the other fields in this window if they are empty. You need the ZIP Code+4 from which the bills will be mailed; a contact phone number for your company, and today's date. (Please note that the bills must be mailed on the same day that you sort and print them.) Click OK to continue.
  6. Click CASS Report and Instructions to get printable mailing labels, send the certification to Trash Flow for verification, and view the details of your billing batch. The report that displays will also tell you how much to pay the post office for this bill run.
  7. Print the tray labels and report (if desired).
  8. Click Send CASS Files to USPS to electronically file the batch with the post office.
  9. Click Print Bills.

When you're done

Cut the tray labels from the printed report and insert them into trays provided by your local post office. Once the bills are printed (and envelopes stuffed, if necessary) you can load the trays according to the labels, bring them to your post office, and send out the mail.
