Enter Your Payment Terms

This article explains how to add terms of payment that are more descriptive than due dates. If you want Trash Flow to automatically calculate and print due dates on bills click here.

Before You Begin

If you only want to use due dates on your bills, don't use Trash Flow to track your costs at the landfill, and don't apply payments toward specific invoice numbers then setting up these terms is optional. Any version of Trash Flow that includes billing will let you access this screen. Be sure to set up your business first.

Context

You can set different terms to print on customers’ bills for residential and commercial customers. Note that Trash Flow does not actually use these terms when calculating bills—setting your commercial terms to “NET 30,” will not cause the program to add late fees onto balances after 30 days, for example. The terms you enter here are strictly to inform customers of when you expect them to pay.

Steps to Follow

  1. Click System > Setup > Lists > More > Terms.
  2. Click in the Business Name box, start typing your business name, and select your business from the list.
  3. Type the Commercial terms (“NET 30,” for example) for your business customers. Note that terms for Commercial and Contract customers will be the same.
  4. Type the Residential Terms (“Pay by 15th or add $3,” for example) for your residential customers.
  5. Choose if you want the Finance Charge to appear on customer invoices for invoice-billed customers. (Some users choose "Not on invoice" so they can delete finance charges as courtesy for pay by invoice customers.)
  6. If you track your costs in Trash Flow enter a variable-rate cost bill code under Standard Truck Rate; this is generally a cost per mile or per hour to operate the truck.
  7. If you track your costs in Trash Flow enter a variable-rate cost bill code under Standard Tip Rate; this is generally your cost per ton to dispose of material at the landfill.
  8. Click OK to close.

When You're Done

All bill formats will include the terms you entered. Please be aware that if you enter different terms on the customer Misc. tab those will override anything set here.
