Entering Multiple Payments in Trash Flow


Trash Flow's payment interface lets you quickly enter cash or check payments. Information you record in this section will appear in the financial history for each customer and will include the payment date, amount, and check number (if applicable). To begin entering payments:

  1. Click Billing > Payments.
  2. Search for the customer you wantto enter a payment for.
    • To search by account number: Type the customer's account number or webID number in the box and press the Enter key. Trash Flow will automatically fill in the customer's name and their current balance.
    • To search by name: Using the Tab key or your mouse, place the cursor in the Customer field. Then, begin typing the customer's name or press the Spacebar to bring up the customer selection screen. Once you select a customer, Trash Flow will automatically fill in the customer's account number and their current balance.
    • To search by address: Some haulers prefer to search for customers by address, especially when recording all payments along a specific route. To do this, press F6 or click the Address button at the bottom of the screen to bring up a selection screen. Once you select a customer, Trash Flow will automatically fill in the customer's account number, name, and current balance.
    • To search by invoice number: If you mail invoices instead of statements or postcards to some customers, you can search by invoice number. Press F5, type in the invoice number, and press Enter or click OK to pull up the account. You can also press F12 to bring up a window to apply payments to a different invoice.
  3. If you're entering a payment amount different from the outstanding balance, type it in the field .
  4. If you offer customers a cash discount (a lower price for not paying with a credit card) there is one small difference in this window. Once the account is entered the Balance column will show the full amount, but the Payment column will automatically calculate and show the discounted amount due. Once the payment is entered Trash Flow will automatically add a second transaction to the account, a Cash Discount to make up the difference in what was owed.

  5. For cash payments, press Enter or F12 to record the payment. If you're entering a check, record the check number in the Check # field and press Enter.
  6. A new payment entry line will now appear so you can continue working.
  7. When you're done recording payments, press the Esc key to return to the Main Menu.

More Information About Entering Payments


  • If you realize that you have the wrong account open, type in 0 and press Enter.
  • As you enter each payment, it is automatically posted to the customer's account.
  • After each payment is entered, Trash Flow creates a new line for you to enter another payment.
  • Once you enter twelve payments, the window restarts at the top.
  • If you make a mistake in entering a particular payment amount, go to the Customer Information menu, pull up the customer's account, select the History tab, select the incorrect entry with your mouse, and press F5 to delete the transaction.
